Privacy Policy

Who we are

Our website address is: https://www.eastcoteresidents.org.uk.

What personal data we collect and why we collect it

Registered Users

If you are a registered user (i.e. you have been given a login to the website) we store your name and email address in order to identify you and to communicate with you in the event of lost passwords or other system alerts.

Contact forms

If you contact us via the ‘Contact Us’ or ‘Join Us’ pages and associated forms, we will capture your name, email address and your message to enable us to reply to you. We use a third party service, Invisible reCAPTCHA from Google Inc.

Google reCAPTCHA is a SPAM protection service provided by Google Inc.

The use of reCAPTCHA is subject to the Google privacy policy and terms of use.

eNewsletter subscription

If you click the link to subscribe to our Newsletter, we use a third party service from MailChimp to send you weekly eNewsletters and other communications. We hold your name, email address, whether you are a member of Eastcote Residents Association, how you prefer to pay for membership and how involved you would like to be with the Residents’ Association. If you wish to provide them, we may also hold your address and age range. These are all used to send appropriate communications based on member criteria.

Importantly, we also hold details of your consent to contact you via email and / or phone / text.

Details of MailChimp’s privacy policy can be found here

News and Event entry

If you decide to tell us about your news or upcoming events (and you are not already logged in) we will ask for your name and email address – this is used to ensure we can contact you if we have any questions and also to deter ficticious entries.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

We use cookies to personalise content and to prevent spam emails.

The law states that we can store cookies on your device if they are strictly necessary for the operation of this site. For all other types of cookies we need your permission.

Details of our Cookie Policy can be found here

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

We do not share you data with third parties, although we may use a third party to scan comments and messages for spam.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service.
